Email Folders

 

Changing the Currently Displayed Folder

All folders can be accessed from the Inbox screen.  The folder list contains native email folders as well as custom folders you have created on the server and set to be mirrored on the device.  You cannot add or rename folders on the device.  See How to Set Up Folder Mirroring below.

To display another folder, select View Folders from the Message List menu.  This launches the folder tree from which you may choose a different folder to view.  If you exit and reenter the message list screen, the device returns to the last folder you viewed.  Choose from the list of folders below:

 

 

 

* An asterisk indicates that the folder permits moving a message from another folder into it.

Description

Incoming

This folder exists for the convenience of having a place to view all incoming messages that have been delivered to various folders (Inbox or mirrored folders).  All messages that have not been deleted or saved can be viewed from here, as well as from the folders they were delivered into.  The Incoming folder has a special icon and is always the first folder in the folder tree.    TIP: To see the folder into which a message was delivered, highlight the message and select Location from the menu.

Inbox*

Newly received, unread messages are stored here, as well as any read messages with which you may still wish to work.

Sent Items

Sent messages are stored here.

Outbox

Pending outgoing messages are stored here. These are messages you have completed that are waiting to be sent.  Outbox messages are sent every 30 seconds or when you perform an on-demand synchronization (Get/Send).

Drafts

New messages that you aren’t finished composing or wish to hold for sending later are stored here.

Deleted Items

All messages deleted from your other mailbox folders are stored here.

Saved*

Stores messages you wish to save.  Moving messages here keeps them exempt from the email cleanup routine.

Custom Folders*

Folders you have created and set to be mirrored on the device.

 

Using the Folder Tree Screen

The Folder Tree screen has its own menu, which gives you options to expand and collapse the tree, find a specific folder, or synchronize the folder list with the server.

Expand

Expands the currently highlighted folder if it contains subfolders.

Collapse

Collapses the currently highlighted expanded folder, hiding the subfolders.

Expand All

Expands all folders that contain subfolders.

Collapse All

Collapses all folders that contain subfolders.

Select

Selects the currently highlighted folder.

Find Folder

Prompts for a search string, then searches the folder tree for all folders matching it.  Focus is moved to the first match.

Find Next

Moves focus to the next search result when more than one item is found by a folder search.

Synchronize Folders

Requests an updated folder structure from the server.  When a request is being processed the screen title will display “Synchronizing …” The title returns to its original text when processing is complete.

NOTE:  On devices where multiple characters share the same key, press the shift key to use the second letter as a hotkey.  Example:  To use ‘N’ for Next, you would press SHIFT+N.

 

Moving Messages to Another Folder

Select Move To Folder from the Message List menu.  This will launch the folder tree from which you may choose the destination folder.  Only the folders that allow messages to be moved into them are displayed.  These folders are: Inbox, Saved, and any user-defined folder sent from the server.

 

Searching for Messages in Specific Folders

To search for a message, select Search from the Message List menu.  You can search for a message using any of the search criteria in the table below.

Accept the default:  All Folders or select a folder from the folder tree.

Type

Allows you to search messages of a particular type.

Accept the Default:  All or change to Incoming, Outgoing, or Meeting Invitation.

Status

Allows you to search messages with a particular status.

Accept the Default:  All or change to Draft, Error, Pending, Sending, Sent, or Read, Unread.

Importance

Allows you to search messages with a particular level of importance.

Accept the Default:  All or change to Low, Normal or High.

 

 

How to Set Up Folder Mirroring

You must complete this step from the NotifyLink Client Web

Folder Mirroring allows you to set up a server mailbox to be mirrored on a device.  If Folder Mirroring is enabled, you can choose which folders to mirror.  If Folder Mirroring is disabled, you can still select folders whose email will be synchronized to the device, however, mail from these folders will be delivered to the device Inbox.  The Inbox and custom folders can be enabled or disabled for mirroring.

All setup for this feature is done on the server through either the Client Web or Administrative Web console.

Activate folder mirroring:

1.  From the Client Web, select General > Control.

2.  Check the box beside Enable Folder Mirroring.

3.  Select Apply Changes, then Close.

Select the folders to mirror:

4.  From the Client Web, Select Mailbox Properties > Folders.

5.  Check the box beside each folder you wish to mirror.

6.  Select Apply Changes, then Close.
