Email Settings

Email Settings give you the ability to define how the device will process email in your device Inbox and any custom folder you created on the server and had mirrored to the device.

 Select Show Help from the menu to display help text.

 

1.  Select the NotifyLink icon from the Home screen.

2.  From the message list menu, select Preferences > Email Settings.

3.  Select your preferences for Email settings:

Enable Spell Check When Saving or Sending Messages

Enable this option to automatically check spelling in all NotifyLink messages that you compose and then send or save.  Default setting: enabled

Include Self in Reply to All

Enable this option to include yourself in the recipient list when sending a Reply to All.  Default setting: enabled

Close Original Message on Reply or Forward

Enable this option to automatically close the original message after you reply to or forward it and return to the message list.  Default setting: disabled

Confirm Deletes

Check the box to activate: When you delete a message the device will ask you to confirm that you want to delete the message.  Default setting: enabled

Use Trash Folder

Check this box to send items to the Trash folder when they are deleted.  Leave unchecked to permanently remove items from the device when they are deleted.  Sent email and sent commands can also be affected by this setting (see Track Sent Items below).  Default setting: enabled

Note:  Automated Cleanup Settings are governed by this option as well.  (Cleaned up email will bypass the trash folder when this option is disabled.)

Return to Folder After Delete

Check this box to return to the folder view (message list) after deleting an email.  If unchecked, the next message in the list will open after an item is deleted.  Default setting: disabled

Track Sent Items

Determines whether sent Emails/Commands are tracked or deleted.  Default setting: All

All:  Sent Emails and Commands are placed in the Sent Items folder. 
Email:  Only sent Email is placed in the Sent Items folder.  Commands are sent to the Trash folder (if used – permanently deleted if not used).
Commands:  Only sent Commands are placed in the Sent Items folder.  Emails are sent to the Trash folder (if used – permanently deleted if not used).
None:  Sent Emails or sent Commands are placed in the Trash folder (if used – permanently deleted if not used).

Sync Read

Yes: Messages you have read on the device will be marked as Read on the server. 
No:  Messages you have read on the device will NOT be marked as Read on the server.
Prompt:  When you read a message on the device you will be prompted to mark it as Read on the server.
Default Setting: determined on server

Sync Deletes

Yes: Messages deleted on the device will be deleted on the server. 
No:  Messages deleted on the device will NOT be deleted on the server.
Prompt:  When you delete a message on the device you will be prompted to delete it on the server.
Default Setting: determined on server

Email Body Type

Select a preferred message format. NotifyLink will request email from the server in this format.  The server, however, will determine the actual format in which the message displays.  Default setting: HTML

Plain Text:  Displays all emails in plain text (contains no formatting), converting HTML emails to plain text as well.

HTML:  Displays emails in HTML (text formatted for the Web) whenever possible.

•      Default Font Size: Allows you to set the font size of an HTML message. Levels range from 1-16, with 8 being the default size.

•      Zoom Level: Allows you to enlarge or reduce the view of an HTML message. There are four levels of magnification.

•      Automatically Download Images: This option displays when Type is set to HTML.  If enabled, images embedded in the HTML body download automatically.  If disabled, the images may be downloaded by using the message view menu option, Retrieve Images.

Auto Complete

If used, the Email addresses you begin to type into recipient fields are automatically completed if they are currently stored on your device.  Default Setting: enabled

Frequent Emails – Check to pull completed addresses from your frequent contact list, comprised of addresses to which you have recently sent emails.

Address Book Emails – Check to pull completed addresses from your device’s address book.

4.  Select Save from the menu.

 

To Clear the Frequent Emails List

The Frequent Emails list is used by the Auto Complete feature.  The list is comprised of addresses to which you have recently sent emails and stores the ten most recently used addresses for each letter of the alphabet.  To clear Frequent Emails, select Clear Frequent Emails from the menu.
