Meeting Requests

 

Meeting Requests gives you the ability to create a new event (meeting) on the device calendar, synchronize it to your computer workstation, and send a request for other participants to attend. 

A meeting request ultimately affects your calendar, but it originates from your NotifyLink email since it is sending a message requesting attendance from another party.  Acknowledgements of the request in the form of an acceptance, decline, or tentative acceptance come through NotifyLink email as well.

 

Sending a Meeting Request

1.  Choose the NotifyLink icon from the Home screen.

2.  From the message list menu, select Request Meeting.

 

 

 

3.  In the To: field, enter (or use the Add Recipient option on the menu) the addresses of meeting attendees separated by commas.

4.  Enter an Event title.

5.  Enter a Location for the event.

6.  Enter the Begin Time and End Time for the meeting.

7.  Select Send from the menu to send the meeting request and update your calendar.

 

Acknowledging Meeting Requests You Have Received

If you are a recipient of a meeting request message you can accept, decline or tentatively accept the meeting appointment.  The meeting invitation appears in your email Inbox with a meeting invitation icon beside it.

1.  Open the meeting invitation.

2.  From the Message View Menu select Accept, Tentative, or Decline.  The invitation remains in your Inbox with a status icon indicating your response.  If you accepted or tentatively accepted the invitation, your calendar will be populated with the appointment.

 

Since the invitation remains in your Inbox, you can resend or change a response by acknowledging the meeting request again. 

When you open the invitation and access the Menu, a confirmation dialog box displays giving you a choice to resend or change the response.

A meeting invitation to which you have responded remains in your Inbox with a status icon that indicates your acknowledgement response. 

NOTE:  Not all collaboration suites support a tentative acceptance acknowledgement.
