Email Folders

The Mailbox Screen

Selecting the NotifyLink icon from the Palm device Home screen launches the NotifyLink application and displays the Mailbox Screen.  The screen displays the name of the folder currently displayed (upper left corner), the message count (upper right corner), and the message list.

Button Options:

- Compose a new e-mail message.

- Compose a new meeting request.

- Delete selected messages in the message list.

- Synchronize the device with the server.

- Commands available to send to the server.

- Launches the NotifyLink Preferences screen.

- Launches the Push Status screen.

 

Changing the Folder Currently Displayed

All folders can be accessed from the View Folder screen.  The folder list contains native email folders as well as custom folders you have created on the server and set to be mirrored on the device.  You cannot add or rename folders on the device. 

You can also Synchronize Folders from the View Folders screen.  Tap the title bar and choose “Synchronize Folders” from the Options drop-down menu.  This requests an updated folder structure from the server. 

NOTE:  You must have Folder Mirroring enabled on the server to display personal folders and synchronize them with the server.  .  (See How to Set Up Folder Mirroring below.)

 

1.  To display another folder, tap the folder name currently displayed. 

2.  Choose a different folder to view from the View Folder list.

Description

 

Incoming

This folder displays all incoming messages in your mailbox, regardless of the folder in which they are located.  All messages located in the Inbox or the personal folders can be viewed from here.

Inbox

Newly received, unread messages are stored here, as well as any read messages with which you may still wish to work.  Incoming PIM update messages are located here, as well.

Drafts

New messages that you aren’t finished composing or wish to hold for sending later are stored here.

Outbox

Pending outgoing messages are stored here. These are messages you have completed that are waiting to be sent. 

Sent Items

Sent messages are stored here.

Trash

All messages deleted from your other mailbox folders are stored here.

Personal Folders

Folders you have created and set to be mirrored on the device.

 

3.  Choose the Select button to save your folder selection or the Close button to return to the last folder you viewed.  The Exp. and Col. buttons expand and collapse the folder currently highlighted if it contains subfolders.

 

Moving Messages to Another Folder

Highlight a message on the Message List, then select Move from the menu.  This will launch the View Folder screen from which you may choose the destination folder.  Only the folders that allow messages to be moved into them are displayed.  These folders are: Inbox and any user-defined folder sent from the server.

NOTE:  Moved messages are synchronized to the server.

 

How to Set Up Folder Mirroring

You must complete this step from the NotifyLink Client Web

Folder Mirroring allows you to set up a server mailbox to be mirrored on a device.  If Folder Mirroring is enabled, you can choose which folders to mirror.  If Folder Mirroring is disabled, you can still select folders whose email will be synchronized to the device, however, mail from these folders will be delivered to the device Inbox.  The Inbox and custom folders can be enabled or disabled for mirroring.

All setup for this feature is done on the server through either the Client Web or Administrative Web console.

Activate folder mirroring:

1.  From the Client Web, select General > Control.

2.  Check the box beside Enable Folder Mirroring.

3.  Select Apply Changes, then Close.

Select the folders to mirror:

4.  From the Client Web, Select Mailbox Properties > Folders.

5.  Check the box beside each folder you wish to mirror.

6.  Select Apply Changes, then Close.
