Part I - NotifyLink - Pocket PC Device
For wireless device users, the NotifyLink Enterprise Server provides support for a variety of wireless networks including cellular networks such as CDMA/1XRTT, GSM/GPRS, iDEN, and all fixed wireless networks using 802.11x technology. For “wired” device users, the network-based NotifyLink solution allows the mobile user to synchronize their device independent of their Mail and PIM (calendar/contact/task data) Servers’ location. Notify has designed the NotifyLink solution for IT organizations that desire centralized management and support for their mobile user needs. With the NotifyLink solution, organizations can easily support their growing mobile workforce while providing a migration path from wired to wireless device usage. Notify also offers the NotifyLink solution “on-demand” for organizations that prefer not to allocate IT resources for mobile user management. Notify is committed to providing answers for organizations seeking a single solution for enterprise mobile device synchronization of email, calendar, contact and task information.
E-mail
Using NotifyLink, emails are synchronized to the user’s mobile device. Email, replies, and forwarded email sent from the mobile device are synchronized with the user’s Mail Server “Sent” folder. If the user deletes an email on the mobile device, NotifyLink automatically places that email in the “Trash” folder on the user's Mail Server. If the user reads an email on the device that email is marked as Read on the server. NotifyLink provides email users with a platform specific smart client, which is loaded on the mobile device. The NotifyLink smart client provides the user with the same email folders that exist on the Mail Server: Inbox, Sent Folder, Draft Folder, Outbox, Trash folder. Emails are sent from the user’s account to the mobile device. Once on the mobile device, the user is able to open the email, read it and then perform any number of operations including replying, forwarding, and even deleting the email.
Encryption and Key Management
NotifyLink supports both Triple DES and the latest Advanced Encryption Standard (AES). AES is a Federal Information Processing Standard (FIPS), specifically, FIPS Publication 197, that specifies a cryptographic algorithm for use by U.S. Government organizations to protect sensitive, unclassified information. The AES key size: 192 and 256 bits. In decimal terms, this means that there are approximately: 6.2 x 1057 possible 192-bit keys. Many security systems will almost certainly use both Triple DES and AES.
Section 1 - Wireless Device Requirements Wireless Device Type Requirements: Your mobile phone service provider must support data transmission. Please refer to your device User Guide or contact your mobile phone service provider for help in configuring this service). The User guide will now refer to the device as PPC (which stands for Pocket PC). Wireless Device Space Requirements: You need 900 kilobytes of free space on your device to install the NotifyLink application. Additional space is needed to store the notifications that you receive and messages that you send. (Note: you can find out your available space on the Pocket PC device within the Microsoft ActiveSync program). Section 2 - Installing/Uninstalling the NotifyLink on your Pocket PC Device You must have Microsoft ActiveSync installed on your PC. If you have not done so, please follow the steps provided by Microsoft ActiveSync and install the application. This must be done before you continue the NotifyLink installation process. Note: DO NOT enable synchronization within ActiveSync for any of the options (leave all unchecked as illustrated below). The NotifyLink application will perform synchronization on it's own.
There are two types of device application versions that you may install to your device:
Installing NotifyLink without using the cradle using the Over The Air Installer You now have the availability to download or upgrade your NotifyLink device application to your Pocket PC without being connected to a computer. To do this, follow these steps STEP 1: In a web browser on the device go to the following site, http://notifylink.notify.net
STEP 2: There click on the link, in the sentence that says, Download your device software here. This will take you to a page that lists all of the different types of NotifyLink software.
You can select either Pocket PC SMS Push device or Pocket PC Scheduled Push Devices. STEP 3: Next, in the Download section you will see a part that says, "If you are downloading from your Pocket PC device. please download just the .cab file below." Click on the the following link which will look like "Download NotifyLink Pocket PC Client .cab File (Version x.x.x.x)."
STEP 4: After you click on the download link, you will see a prompt of if you want to change the destination of the .cab file.
Just click Yes and it will begin transferring. After it completes the transfer you will see NotifyLink installing itself onto the device.
Once your update is complete you will be
able to use the latest version of NotifyLink, Registering your Pocket PC Device SMS Push Client Version - Once the application has been installed, you must reset your Pocket PC Device. (Please refer to your device user guide for instructions on resetting your device). Once the device is reset, NotifyLink can be accessed from the Pocket PC Device's Home screen. (NOTE: you will not be able to use the device application until registration has been completed). Before the device is registered, when a user clicks on the Notify application, it should say "NotifyLink cannot be run until synchronized." You must set the user up on the server and then the registration messages are automatically sent to the device. Unlike the Scheduled Push version of the client, no information about registration will be added on the device. The registration process relies on SMS to "trigger" the device to go retrieve its registration messages. After the user is set up on the server and the registration messages are sent out, you should see Registering(1) through Registering (4) on the device. At this point you will be prompted for a device authentication password if the server supports authentication. Once the device receives the fourth registration message, you will see the user's inbox.
Scheduled Push Client version - When you access the NotifyLink Client from the device's Home Screen, you will see the Pocket PC Client Registration popup, requesting the following information:
Select Register and the device will register your information. You will then be prompted to reset the device. Once the device has been reset, you will be prompted for a device authentication password if the server supports authentication. You will then see the Inbox screen. NotifyLink works with the PPC Inbox, Calendar, Tasks and Contacts and is transparently embedded within all. To Customize NotifyLink, use the NotifyLink application. It is located in the Start s in the Programs folder. You can periodically check messages by selecting NotifyLink Sync from the same location. Note: You must have your wireless network service set up before using NotifyLink on your PPC device. Entering the Authentication Password
SSL is supported on Pocket PC OS based devices running NotifyLink client version 3.0.0 and later. In order to use SSL you must: 1. Install a SSL certificate on your webserver that is signed by one of the following Certification Authorities:
NOTE: You are required to have a domain name when purchasing an SSL certificate for your website. The domain name listed on the SSL certificate must match the domain name of the website you are using or the SSL handshake will fail. GPRS and CDMA RimPhone devcices are using a WAP gateway - the gateway determines which CA's are trusted. 2. Enable SSL on the webserver. You can choose to either require SSL or allow SSL and non-SSL traffic. 3. When regsitering a new account on the device, select the "Use SSL" checkbox under the server address. NOTE: If you are using SSL you must use a domain name, not an ip address for the server address. 4. If you are upgrading from a previous version of the client, you can enable SSL on the Registration screen by checking the "Use SSL" checkbox.
You may remove the device application from the PPC from within the PPC, or from within your desktop PC. To uninstall the device application from the device:

Inbox
The Inbox is the folder in which all incoming messages are stored, as well as any messages you may still wish to work with. Selecting Inbox on your PPC device will open your email inbox and display the list of messages. The Message List provides several utilities with which you can manage messages in your Inbox. Messages that are marked in bold are Unread messages. By default, the most recently received messages are displayed in the list first. Inbox messages can be sorted by Sender, Subject, or Received Date. If you wish to sort by Sender, select From and messages will be sorted alphabetically by sender name. If you wish to sort by Subject, select Subject and messages will be sorted alphabetically by subject. If you wish to sort by Date Received, select Received Date and messages will be sorted chronologically by Date. Tap the down arrow next to Received Date to display a drop-down list of these options.
To access a list of options for messages in your Inbox, tap on a message Message and hold. A list of options will be displayed, as described below. Mark as Unread Mark as Unread marks the selected message as unread. Move to... Move To... allows you to place the email into another folder on the device. Reply Reply allows you to compose a reply to the message.

Reply All allows you to compose a reply to all
recipients of the message.
Forward
Forward allows you to forward the message to another
address.
Delete Delete deletes the message.
In order to view a messages, highlight the message and tap to open it.
The message screen shows the address of the message sender, the
subject of the message, the time the message was received, and the message
body. Note: The From field may not always be an email
address or a name associated with an address. You may also view the complete
header of the email by selecting By tapping on the icons illustrated below you may perform the
following actions: New Compose a new message. Edit Mark as Unread will Mark the current message as unread. Mark for Download - In the event
that the message does not contain the entire body, the email will state at the
bottom "[Message Truncated. Tap Edit-> Mark for Download to get remaining
portion.]". To have the PPC request more of this messages email body, select
Edit->Mark for Download. The additional body will prepend itself to this same
message. Move to... allows you to move the current message to
another folder. All of your available folders will be displayed in the
selection process. Language allows you to select another language. (This
would only be necessary if the email was written in another language than the
default language defined on your PPC). Select All highlights the entire body of the email
message. You may then select Edit-> Copy with your selection. Edit My Text Messages allows you to edit your existing
text messages. Reply allows you to compose a reply to the message.
Forward allows you to forward the message to another address.
Delete message Delete deletes the message. OK OK closes the message and returns to the Message List. To compose an email message, tap New.
To: The address of your intended recipient. Enter the email address
of the recipient manually, or select the address from the address book
CC: Additional recipients that you would like email to be sent to
(or "carbon copied"). In order to view this field, click on
BCC: Additional recipients that you would like email to be sent to
(or "blind carbon copied"). In order to view this field, click on
Subj: The subject of your email message. Service: By default, this value is set to ActiveSync. In order to send the email with the NotifyLink application, do not change this value. Text Enter in the body of your email message. You may manually enter the text, or select My Text to insert common messages. Send
Send the email message. (Note: An outgoing message will be saved to the Drafts folder if you view it and tap OK instead of Send).
Section 4 -
Folders
All folders can be accessed from the Inbox. To move from one folder to another, select the down arrow below NotifyLink (next to Inbox) to display a drop-down list of all folders. You can select from the Inbox, Sent Items, Outbox, Drafts and Trash folders. The Folders list is shown below. Note: your folder list may vary depending on any custom folders you may have defined.
Each folder appears in the same manner, with the exception of the name of the folder at the top of the screen Because the Inbox folder is your default folder, accessing the Inbox will always display the Inbox folder. Inbox The Inbox is where newly received messages are stored, as well as any messages you may still wish to work with. Inbox messages can be sorted by Sender, Subject, or Received Date. If you wish to sort by Sender, select From and messages will be sorted alphabetically by sender name. If you wish to sort by Subject, select Subject and messages will be sorted alphabetically by subject. If you wish to sort by Date Received, select Received Date and messages will be sorted chronologically by Date. Tap the down arrow next to Received Date to display a drop-down list of these options. Sent Items The Sent Items folder is where all sent messages are stored. Sent Items messages can be sorted by Sender, Subject, or Received Date. If you wish to sort by Sender, select From and messages will be sorted alphabetically by sender name. If you wish to sort by Subject, select Subject and messages will be sorted alphabetically by subject. If you wish to sort by Date Received, select Received Date and messages will be sorted chronologically by Date. Tap the down arrow next to Received Date to display a drop-down list of these options. Outbox The Outbox folder is where all pending outgoing messages are stored. Outbox messages can be sorted by Sender, Subject, or Received Date. If you wish to sort by Sender, select From and messages will be sorted alphabetically by sender name. If you wish to sort by Subject, select Subject and messages will be sorted alphabetically by subject. If you wish to sort by Date Received, select Received Date and messages will be sorted chronologically by Date. Tap the down arrow next to Received Date to display a drop-down list of these options. (Note: An outgoing message will be saved to the Drafts folder if you view it and tap OK instead of Send). Drafts The Drafts folder is where newly composed messages that have not been sent are stored. Drafts messages can be sorted by Sender, Subject, or Received Date. If you wish to sort by Sender, select From and messages will be sorted alphabetically by sender name. If you wish to sort by Subject, select Subject and messages will be sorted alphabetically by subject. If you wish to sort by Date Received, select Received Date and messages will be sorted chronologically by Date. Tap the down arrow next to Received Date to display a drop-down list of these options. Deleted Items The Deleted Items folder is where all messages deleted from your other Mailbox folders are stored. Deleted Items messages can be sorted by Sender, Subject, or Received Date. If you wish to sort by Sender, select From and messages will be sorted alphabetically by sender name. If you wish to sort by Subject, select Subject and messages will be sorted alphabetically by subject. If you wish to sort by Date Received, select Received Date and messages will be sorted chronologically by Date. Tap the down arrow next to Received Date to display a drop-down list of these options. Each of these message sorting options will sort messages in ascending or descending order. If messages are in either ascending or descending order by alphabet, subject or date received, clicking the one you wish to sort by two times will sort them in the reverse order. The envelope icon on the left indicates the Read Status of your messages (whether your messages are read or unread). If an icon of a closed envelope is shown next to the message, the message is unread. If an icon of a open envelope is shown, the message is read. You can scroll through your messages by tapping the scroll bar on the right.
Section 5 -
PIM Functions
Selecting Calendar sends you to the Calendar application. From this screen you may compose a new Calendar event, view existing events or perform an Initial Sync. Create a new Calendar event (illustrated below). Depending upon your synchronization settings, the event may or may not be sent to your desktop email client. If you would like to invite Attendees and have a Meeting Request sent out from the device, simply select a recipient (or recipients) under Attendees.

Selecting Contacts sends you to the Contacts application. From
this screen you may compose a new Contact entry, view existing entries or
perform an Initial Sync. Contacts can now be synced from
multiple address books into different categories on the Pocket PC. A category
is created for each address book selected for synchronization if they do
not already exist. The same is true for the server. If a contact is
created on the device in a new category, an address book with that same name
will be created on the server. The new contact will then be added to this
category. Moving an item from one address book to another in the Groupwise
Client will now change the category on the device. Changing categories on
the device will also cause the item to be moved on the server. If a new
contact is created in a new category, a new address book will be created
on the server. This new address book will automatically be checked to
synchronize on the server. One other important thing to
know is that if an empty category is removed the on the device the
corresponding address book will not be
removed from the server. Items deleted from a category on the device will
be removed on the server New Create a new Contact entry (illustrated below). Depending upon your synchronization settings, the event may or may not be sent to your desktop email client.
View
Tools
Selecting Tasks sends you to the Tasks application. From this screen you may compose a new Task entry, view existing tasks or perform an Initial Sync. New Create a new Task (illustrated below). Depending upon your synchronization settings, the event may or may not be sent to your desktop email client.

NotifyLink
Prefs To access the NotifyLink application, select NotifyLink Prefs Programs folder in the Start Menu. The default option is the Commands option.
Commands Selecting Commands allows you to perform the following commands:
Select an Account (if applicable) and Command by tapping on the Arrow down. Sync Settings Selecting Sync Settings allows you to customize how often your device syncs with the NotifyLink server. The different options are listed below.
Weekday - Allows you to define specific settings on your Weekday sync. You may change this option to Interval or Off. By default the option is set to All Day for the Scheduled Push client and set to Off for the SMS Push client. Frequency (mins) - The default setting for the sync options is to sync every 5 minutes all day.
Weekend - Allows you to define specific settings on your Weekend sync. You may change this option to Interval or Off. By default the option is set to All Day for the Scheduled Push client and set to Off for the SMS Push client. Frequency (mins) - The default setting for the polling options is to sync every 5 minutes all day.
Ignore old messages (SMS Push Client version) does not sync messages that are older than the number of days you have defined. The default is set to 1. Next Poll set for: Displays the next scheduled time the device will check for new messages. Sync - force the device to perform an instant sync with the NotifyLink server. You may view these settings in the bottom right-hand corner of your device from the Today Screen. Note: the sync setting will only reflect the current day sync settings.
Security Selecting Security displays the security settings that you have chosen to use with the NotifyLink application. By default, the value is set to NONE.
The PPC also has built in security settings. To change these settings, select Settings from the Start menu. Select the Personal tab, then select Password.
You may select No Password, Simple 4 digit password, or Strong alpahanumeric password. If you choose to enable the security password feature, you must define the amount of minutes the PPC will wait until the password screen appears (in the event of device inactivity). You will not be able to unlock the device until you enter your security password. Note: in the event that your device has been locked down by your Administrator, the device will enable the security feature on it's own. You must contact your Administrator to receive your security password. PIM Selecting allows you to customize your PIM settngs:
PIM Account allows you to switch your default email account on your PPC
device to an account other than that which you are currently using. This
assumes you have more than one email account and at least one other
account has been set up on your PPC device. The PIM account is the
account used for PC Access, syncing and loading. Save PIM Change Summary allows the option to
save a summary of OTA change events to the Main Inbox of your
PIM account. Synchronize Calendar Changes tells the device to send any
Calendar
changes (that were made on the PPC device) to your desktop. Synchronize Tasks Changes tells the device to send any
Tasks changes (that were made on the PPC device) to your desktop. Synchronize Contacts Changes tells the device to send any
Contacts
changes (that were made on the PPC device) to your desktop. Auto Sync Contacts tells the device to do an
Contact load daily at the specified time. To enable auto contact sync,
check the Auto Sync Contacts checkbox and select a time in Daily at
drop-down list. Once this is checked a field will be displayed where
you can enter the time that the auto contact sync should occur. Note:
the Contact load will delete all current contacts on your device. You
should not enable this feature if you are in a low coverage area. Preferences Selecting Preferences allows you to define some general preferences:
Clean-Up Here you can customize the cleanup options on the device.
NotifyLink Licenses (Scheduled Push Client Version ONLY) Selecting NotifyLink Licenses allows you to view your current Registered Keys.
You have the option to change the Registered Keys or to add a new Key.
Select Register and the device will register your information.

NotifyLink
Sync To access the NotifyLink Sync application, select it from the Programs folder in the Start Menu. NotifyLink will immediately check for new email messages.

You can compose your message using the on-screen keyboard. To access the on-screen keyboard, tap the
By selecting the arrow up next to the keyboard icon, you may also view Block
Organizer, Letter Recognizer or Transcriber. Please refer to your PPC manual for
further help.

There are commands which can be used with the NotifyLink application on the
PPC Device Client. Commands allow even greater flexibility in managing
your email account from your PPC Device Client.
For example, if you
wish to check for new messages, you can send the CATCHUP command and it
will return any new messages to your PPC Device Client. If you wish to shut the message notification
service off for a period of time, send the NOTIFY OFF command. If you wish to turn the message notification
service back on, you can issue a NOTIFY ON command.
Selecting NotifyLink from the Programs folder in the Start Menu displays the Account selection
and a list of Commands. All available Commands are shown
below.
The following button is available at the Commands screen:
Select the desired command and select the Send button. A popup indicating the command is being sent will display.
A reference guide which explains Commands in further detail follows.
As you can see, using Commands is quite simple, and provides an easy-to-use means of managing your desktop email
from your PPC Device Client.

Attachments
Mark For Download
When you receive a message with attachments
and / or a truncated message body, the “Edit” menu item “Mark For
Download” will be enabled. This menu item will have different behavior based
on the current state of the message. On messages that have only a truncated message
body, selecting “Mark For Download” will immediately cause NotifyLink to
retrieve the next segment of the body. When all the segments have been
completely retrieved, the menu item will become disabled. If the message has attachments, selecting
“Mark For Download” will bring up a selection dialog. This dialog will allow
the user to select what they would like to download.
If the message body is truncated and there is
more available that hasn’t been downloaded, the checkbox for “More of the
message body” will be enabled. Also, any attachments that are bigger than the
maximum allowed size will be grayed out and not selectable. Once the user has selected what they would
like to download, selecting the “Download” button will begin the
downloading. If getting more of the message body is selected, that will be
retrieved first. A wait dialog will be displayed while the next segment is
downloading. If any attachments are selected, you will be prompted to make sure
you wish to download them right now. This prompt will give you an estimate for
how long it will take to complete. The attachments will then begin downloading
and you will see the “Transferring” dialog.
Once the selected items have been completely
downloaded, you can tap on the downloaded attachment in the message to open it.
Holding the tap will bring up the popup list where you can select the “Save
As” item to save the attachment to a specific location. If an
error occurs while downloading an attachment, or the transfer was cancelled, you
will be able to resume the download. Select “Mark For Download” again and
the download options screen will appear again. In the attachment list you will
see the attachment, its total size, and how much has already been saved. Select
the attachment that was partially downloaded and tap the “Download” button
to resume downloading the file.
If NotifyLink determines that there is not
enough free space to download an attachment, you will be notified of this
situation. If there is a memory card with enough free space, you will be given
the option of downloading directly to a memory card. The NotifyLink “Save
As” dialog will appear to let you select where you wish to save the file to.
When downloading directly to a memory card, it
is important to remember that resuming will not be supported. Sending
Messages With Attachments To attach files, use the “Edit” ->
“Add Attachment” menu option when composing a message. When you select “Send” for the outgoing
message, the message body will send and then any attachments will begin sending.
You will see the “Transferring” dialog while the attachment is uploading.
If an error occurs during uploading a file, or
it is cancelled, The message will remain in the outbox. The next time a message
is sent, it will resume sending where it left off. It can also be manually
ordered to resume by opening the message and tapping “Send” again. Note About Forwarding Messages When forwarding a
message that has attachments, any original attachments that have been downloaded
completely to the device are automatically added to the forward. Since you may
want to forward the message and all attachments without having downloaded them
all, the NotifyLink client will ask you what you would like to do. When
“Send” is selected, the NotifyLink client will present you with a dialog.
Selecting “Yes” will cause all of the original message attachments to be
forwarded from the server. In this situation, the recipient will receive all of
the original attachments plus any that have been added in the Pocket Inbox
message. If some attachments were downloaded on the original and were not
removed from the outgoing message, the recipient will receive duplicate
attachments. Tested

Logging
Logging is a support tool that will allow our
application to keep an updating text file on the device. This text file
will help us troubleshoot your device in extreme cases.
WARNING: This should only be used
as directed from support. Your device might lose performance with logging
enabled.
When logging is disabled, you will only have the
option to enable it. When you select to enable logging, you will be
prompted to double check if you really want to start logging.
If you select yes on the prompt the menu will now look like this:
Here you will the option to save the log on the phone or on a memory card.
Also you will have the option to customize the maximum size allowed for this
log.

If the administrator did not set up the
user’s initial PIM synchronization when they set up the account, it is up to
the user whether or not they wish to perform an initial PIM sync. After the
device has been successfully registered the user will be prompted for whether
or not they wish to perform the initial PIM sync. If they choose not to do the
initial sync, the user is also prompted if they would like to be asked again
during the next sync.
If the user does choose to perform
the initial sync, the request will be immediately sent to the server. The
server will process the request and the results will be returned after a few
minutes. Usually the results will be returned during the next sync cycle. Refer to the Initial Sync section of the
device user guide for further details on initial sync.

If the automatic contact synchronization is off, you will have the option of performing a contact sync during every sync operation. This option is also set on the PIM Preferences page. If set to yes, every sync will include a request to load the contacts from the server, which are usually received by the device during the next sync. The prompt setting will cause every sync to be followed with a question to the user of whether or not they wish to sync their contacts. This dialog, like the initial sync dialog, will remain on the screen for 5 seconds and then be removed without user intervention. This periodic contact sync will allow the user to always make sure their devices have any changes that were made on the server.
In the PIM Preferences menu a new option has been added so you can log any conflicts in appointments or tasks between the server and the device. Having this option selected when a conflict occurs, a message will be placed into the inbox telling you what conflicts happened and how they were handled. Also, synchronizing PIM changes is now broken up into the individual parts instead of all being in one option. This will allow you to select the PIM items that you want to sync. The new PIM Preferences menu looks like this.
If Log Conflicts is selected, whenever a conflict occurs you will receive a message in your inbox that looks like the following. Otherwise, if Log Conflicts is not selected, you will not receive any notification that a conflict has happened.
This message tells you what kind of conflict it was in the FROM: field. It also states which side, either the server or device that is changed, and the titles or subjects of what was discarded and what was kept.
In the Security menu, there has been a new feature added so if your device has not synchronized in so many days, it will remove all of your messages and PIM items. It will also remove your account from the device. This is incase your device gets lost or stolen. Also, the number selected after this is enabled is in terms of days
Keep in mind that when you select this feature, a prompt will pop up and ask for confirmation. To enable this you must spell out YES is capital letters. The prompt looks like this:
Sync Reminder
The sync reminder is a
new feature added to the Sync Preferences menu. This feature will let the user
know if his or her device has not been synchronized in so many hours. To
enable this feature click on the Sync Reminder checkbox and set how many hours
that will go by until the device reminds you to synchronize.
The reminder will look like the following. It will include how many hours that
have gone by since it last synced.
Conflict Resolution
Conflicts are if a task or an appointment is
changed on the server and also changed on the device before the first change
can be synchronized. For this you can set conflict resolution to Server wins,
Device wins, or Prompt. For server wins, what is on the server will be brought
down to the device. For device wins, what is on the device will update the
server. For prompt, when there is a conflict, you will have the option to
select which one you want to keep. The prompts look like this:
